Your responsabilities
As Office Manager & Personal Assistant, you will be the right hand of the CEO and ensure the smooth functioning of our team and office. You will protect the CEO’s time and energy for the most strategic matters (fundraising, sales and partnerships), while keeping operations and administration running efficiently. You will also provide targeted support to the CFO and CTO/COO to ensure the entire leadership team can focus on high-impact priorities.
Your main tasks and responsibilities include:
(1) Office Management:
• Ensure smooth daily office operations (supplies, IT, food & drinks, subscriptions, incoming/outgoing mail & courier). Manage shipments, customs paperwork, and logistics for pilots and small collaborations. Support the Production Manager with documentation and scheduling for larger productions.
• Organize and facilitate bi-weekly and monthly team meetings; prepare agendas and track action points.
• Coordinate travel and accommodation for the team, optimizing schedules for efficiency and cost.
• Act as first point of contact for general inquiries (incl. website contact form).
(2) Personal Assistance to CEO & C-Suite:
• Calendar & Time Management: Proactively manage CEO’s agenda, optimize travel, and protect focus blocks for deep work, health, and recovery. Act as gatekeeper to filter requests and prioritize according to strategic goals.
• Board & Investor Support: Prepare board packs and investor materials, coordinate agenda-setting with the Chair and directors, and handle logistics. Ensure CEO only focuses on strategic content.
• Communication & Follow-up: Draft correspondence, structure presentations, and prepare briefing notes for key meetings (investors, industrial partners, regulators). Ensure follow-up actions are tracked and completed.
• Assist CFO with invoice preparation, payment workflows, grant/subsidy reporting logistics, and financial document formatting.
• Support CTO/COO with procurement processes, supplier documentation, technical meeting scheduling, and project reporting.
• Wellbeing Protection: Safeguard CEO’s time for exercise, intellectual growth, and personal anchors, ensuring “mens sana in corpore sano” is a lived principle, not an aspiration.
Your profile
• You are a trustworthy, discrete, and reliable collaborator.
• You thrive in fast-paced environments and can juggle multiple priorities without losing structure.
• Strong calendar, travel, and meeting management skills — you think beyond logistics to strategic optimization.
• Excellent communication and presentation skills; you can draft, polish, and structure professional materials.
• Fluent in English, Dutch and French (German and Spanish are a plus).
• Empathetic, solution-oriented, and proactive. You anticipate needs before they become problems.
• Experience as an Executive Assistant, Office Manager, or Chief of Staff in a scaleup, consultancy, or corporate environment is a strong plus.
